A leading manufacturer of consumer staples is seeking a detail-oriented Order Management Specialist to support customer service and logistics operations. This role is responsible for accurate order processing, EDI management, inventory coordination, and maintaining strong relationships with customers, retailers, and internal teams.

The ideal candidate will provide exceptional customer service, ensure timely and accurate order fulfillment, and help improve processes that enhance the overall customer experience.

 
Key Responsibilities 

Order Management


Process customer orders with a high degree of accuracy via EDI, email, and other order channels


Create and manage BOL and release orders to ensure timely shipment


Issue invoices following shipment and reconcile open order status with daily sales reports


Identify discrepancies and proactively report issues to management


Evaluate and recommend process improvements to enhance efficiency and customer satisfaction




EDI & Data Coordination


Enter, transmit, and monitor EDI documents


Identify and resolve EDI-related issues


Maintain accurate product data and upload information to customer data systems (e.g., GDSN)


Send order documentation via PDF when EDI is not available


Logistics & Inventory Support


Monitor inventory levels to reduce out-of-stock and excess inventory situations


Track inbound shipments and coordinate with logistics team members


Support inventory allocation planning and internal supply chain discussions



Customer Service


Communicate with customers regarding order discrepancies, shipping delays, and conflicts


Resolve customer issues promptly and professionally


Maintain and update customer records and requirements within internal systems


Develop strong working relationships with customers, retailers, and internal teams




Reporting & Compliance


Keep management informed of issues, delays, and operational concerns


Follow company policies and applicable federal, state, and local regulations


Participate in product recall procedures and compliance initiatives when necessary 



Team & Process Contribution


Provide cross-functional support and assist team members as needed


Maintain professional and technical knowledge of systems and industry trends


Act on feedback to improve performance and processes


Recommend workflow improvements to enhance operational efficiency

Requirements


Qualifications

Education & Experience
Bachelor’s degree or equivalent combination of education and experience
Experience in order management, customer service, logistics, or supply chain preferred
EDI and data synchronization experience is a strong plus


Skills & Competencies

Strong attention to detail and organizational skills
Excellent written and verbal communication skills in English
Ability to manage multiple priorities in a fast-paced environment
Proficiency in Microsoft Office (Excel, Word, Outlook) and general business systems
Ability to review and interpret purchase orders, contracts, and technical documents
Strong analytical, problem-solving, and customer service skills
Professional, flexible, and team-oriented attitude


Mathematical & Reasoning Skills

Ability to calculate discounts, percentages, and basic financial figures
Ability to analyze reports and interpret data
Strong problem-solving skills with the ability to follow written and verbal instructionsPhysical & Work Environment
Primarily office-based environment with moderate noise level
Regular sitting, standing, walking, and computer use required
Occasional lifting/moving of items up to approximately 30 lbs
Overtime may be required based on business needs
