Overview

Logistics company is seeking an Ocean & Inland Operations Coordinator who is responsible for supporting the activities and processes of the Operations Department in their branch location, and for providing other general Operations support as needed.


Description

Essential Job Functions:

A. Performing Logistics Processes

1)Completing and processing all required domestic and international shipments and cargo.

2) Preparing and submitting proper documentations for shipment (B/L, arrival notice, carrier information, billing information, etc.) to any involved party (US Customs, carriers, customers and for internal use).

3) Entering all necessary information (cargo, transport, pricing, etc.,) in the company's database; by coordinating with various transport carriers (ground, air, ocean) to arrange shipping method.

4)Communicating with customers for shipment details (carriers, method, fee, schedules).

5)Calculating duties or tariffs as needed; by coordinating with Customs Broker and/or US CustomsHouse as needed.

6)Facilitating the passage of cargo through customs.

7)Acting as a liaison among any involved parties on shipping.

8)Providing other general support regarding shipping and logistics coordination as needed.


B. Supporting Warehouse and Inventory Functions

1)Performing shipping and receiving functions as required.

2) Supporting the passage, verification and storage of cargo through the Company's on/off-site warehouses.

3) Filing and recording all relevant documentations and cargo details such as tracking number needed to successfully store and track cargo.

4)Entering inventory information into the company's database.

5)Tracking and updating inventory control information for customers and internal use.

6)Support physical inventory storage procedure and packaging (labeling and loading, etc.) as needed.

7)Recording damaged stock as needed.

8)Providing all other general warehouse support as necessary.


C. Providing Troubleshooting and Customer Service Support

1)Reporting issues/problems to Operations Supervisor.

2)Escalating high level and complex issues to operation supervisors.

3)Notifying customers of delays or other issues as needed.

4)Effectively troubleshooting issues appropriately and in a timely manner when they arise.

5)Checking for consistency in the arrival and delivery notices; updating information regarding any trouble (late arrival, claims, damaged items, etc.) onto the company's database.

6)Providing general troubleshooting support to ensure customer satisfaction.


A.Managing Time and Resources

1)Using tools provided by the Company (phone, fax, e-mail) in order to maximize productivity and to accomplish tasks on time.


B.Keeping Supervisors and Management Informed

1)Participating in meetings; and by reporting problems to Supervisors and/or Management verbally orin writing in order to avoid confusion and further problems.


C.Performing General Administrative Duties

1)Writing and distributing reports and other correspondence.

2)Distributing mail and faxes when necessary.

3) Accurately filing and maintaining documents.

4) Making copies; and by performing other administrative duties as needed.


D.Following Corporate Confidentiality, Practices and Compliance

1) Following all Company practices and policies (operation, accounting, confidentiality, etc.).

2) Complying with any and all industry and position related federal, state, and local regulations as directed by Management.

3) Reporting any potential risks related to information exposure or compliance failures to Management

in a timely manner.

4) Performing any other general actions required to ensure protection of the Company's confidential information and compliance with any and all certification and regulatory agencies.

A.Physical Requirements

1) While performing the duties of this job, the Staff Member is regularly required to sit and talk or hear.The Staff Member is occasionally required to stand, walk, use hands to pick-up, handle or feel, and reach with hands and arms.

2)The Staff Member must occasionally lift and/or move up to 1 pounds.

3)This position requires vision abilities such as close vision and the ability to adjust focus.


B.Working Environment

1) The noise level in the work environment is usually moderate (i.e. working in a business office with computers, printers, and telephones) and occasionally noisy (i.e. working in a warehouse environment with various equipment, machinery and trucks).

2)The Staff Member may be required to work beyond normal business hours when necessary.



Requirements

Experience/Minimum Qualifications Needed

A.Language Skills

1)Ability to read and interpret general business documents, forms and instructions in English.

2)Ability to write reports, business correspondence, in English.

3) Ability to effectively respond to questions from Management, Managers, Staff, clients, and the general public in English.

4)Ability to communicate verbally and in writing to individuals and groups in English.


B.Mathematical Skills

1)Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

2)Ability to apply concepts of basic algebra and geometry and to draw and interpret bar graphs.


C.Reasoning Skills

1) Ability to apply knowledge and sense of understanding to carry-out detailed written or oral instructions.

2)Ability to analyze and use various documents (contracts, purchase orders, etc.).


D.Computer Skills

1)Ability to use a computer and such applications as Microsoft Windows, Word, Excel and Outlook and be able to design custom reports as necessary.

2)Ability to use Company's Database Program for Logistics Operation and Inventory Control.


E.Other Skills

1)Must be tactful, mature, flexible and able to successfully respond to multiple work pressures.


Education

1)Associate's degree or equivalent from two-year college or technical school

2) Zero-to-one-year related experience and/or training; or equivalent combination of education and experience.
