Overview

A Japanese manufacturing company is seeking an HR Administrative Staff in Texas. This position is responsible for conducting administrative function within the company under the direction of Senior Vice President. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills, Internet research abilities and strong communication skills are required.


Description

Administrative Responsibilities: 

Providing clerical and administrative support to multiple supervisors. 

Handle administrative requests and queries from senior managers. 

Maintains office business cards of each employee. 

Suggest more efficient ways to run the office and troubleshoot multifunction. 

Develop and maintain a filing system. 

Send, Receive and Sort out UPS / USPS mails and packages.  

Liaise with executive and senior administrative assistants to handle requests and queries from senior managers 

Hosts company guests. (set up meeting room and prepare guest gifts)  Assists company events.  

Assists new employee preparation and resignation employee exit. (e.g. set up email address, phone extension) 

Assists the manager with Admin projects. 

Schedule and prepare meetings and appointments. 

Assists with all insurance and benefits administration. 

Maintains internal databases.


Completes operational requirements by scheduling and assigning administrative projects, expediting work results. 

Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions. 

Supporting supervisors as needed. 

Be a point of contact for IT issues from employees and escalate to the outsourced tech company if needed 

Send out IT related emails to employees (e.g. security alert, security maintenance schedule) 

Set up equipment such as audio, camera, screen for the company meetings


Secondary Job Function

Order office supplies and research new deals and suppliers.

Preparing and organizing company gifts for guests.

Participate in HR & Administrative projects.

Coordinate HR & Administrative projects, meetings, and training seminars

Requirements

Associate degree or two years of related experience. 

•       Proven experience as an Administrator, Administrative Assistant, or relevant role. 

Bilingual Japanese speaker preferred but this is not an essential requirement. 

Familiarity with office equipment, including printers and fax machines 

Knowledge of office policies and procedures 

Experience with office management tools (MS Office software, in particular) 

Excellent time management skills and the ability to prioritize work 

Attention to detail and problem-solving skills

High degree of multi-tasking and time management capability
